Software for Group Travel & Event Organisers

Services provided by Destination Management Companies include:

THEMED DINNERS

A large corporate dinner or private party which has been designed around a specific theme, concept or interest. This could include Caribbean theme, James Bond theme or perhaps even a Medieval Banquet.

TEAMBUILDING EVENTS

A range of activities for businesses which are intended to motivate and improve a team’s performance and help build strong working relationships between employees. DMCs are able to offer a wide variety of options within their destinations, which can often be tailored to a group’s specific requirements.

LOCAL EXCURSIONS

Tours can be of any duration and can be both leisure and MICE focused, as part of any events, including conferences and incentives. DMCs are well versed in handling tours, which will involve transportation, guide / language liaison and special access to site seeing venues.

GALA DINNERS

Gala dinners are often organised as part of a commemorative event, showcasing a company’s achievements.  The event doesn’t just include the dining / drinks reception part, but will often also provide an opportunity for networking, or an awards element.  DMCs can handle all aspects of such an event, including the catering, speakers, audio visual and hotel accommodation.

CORPORATE MEETINGS

Like events, meetings are designed to bring together a collection of stakeholders for different proposes, i.e. a breakfast briefing, an announcement, or a quarterly sales meeting. Meetings can be large or small and are often rather formal.  They specifically tend to work off an agenda, with minutes being taken a dedicated secretary.  They are usually held in a venue or hotel’s boardroom; however, by utilising a DMC, both the location and added value possibilities from your meetings are endless.

CORPORATE GROUP TRAVEL

Corporate travel programmes are designed to provide employee engagement and a sense of achievement and empowerment for those that participate.  This can be achieved throughout the programme or through specific elements, such team building or Corporate Social Responsibility activities.

DMCs are the one and only port of call you will need to ensure your corporate travel programme is a success and they will make sure they adhere to every part of your brief, while exceeding expectations continuously.

CORPORATE FUNCTIONS

Corporate functions may feature after the formalities of a networking event, meeting or conference have taken place.  They tend to be somewhat specific to the company in terms of ROI and branding and key examples could be a gala dinner or something much smaller like treating one or more clients to dinner.

CONFERENCE LOGISTICS

Conference logistics focuses purely on specific elements of the conference, particularly the act of moving people between venues and the coordination of inventory arriving at the events.  DMCs may deal with incoming cargo for the event into a port for example and the fact that they can handle any language barriers and foreign bureaucracy ensures a seamless event.

HOTEL BOOKINGS

Agency clients book hotels for their corporate clients as part of their meeting, event or incentive abroad.  These usually tend to be 4 or 5 star properties (depending if they are an engineering client or not) and will typically be close to a conference venue if the client needs this. Our DMCs have a really effective buying power, meaning they can negotiate the best hotel rates for our clients. They can also source really unique ‘wow-factor’ properties to ensure total employee satisfaction and return on investment.

SHORE EXCURSIONS

Shore Excursions are pre-arranged land trips which are organised as part of a cruise, when a ship is docked in a harbour or port. These usually include visits to popular tourist areas, local landmarks or places of interest and are arranged so that tourists can explore and experience certain cultures, cuisine and local heritage.

SPECIAL FUNCTIONS

Special functions may feature after the formalities of a networking event, meeting or conference have taken place. They tend to be somewhat specific to the company in terms of ROI and branding and key examples could be a gala dinner or something much smaller like treating one or more clients to dinner.

EVENTS

Events can be formal or informal and are primarily organised as a way of bringing the major stakeholders of a company together.  This can be for suppliers, customers and staff; singularly, or all together.

As well as bringing these people together, events are often executed to celebrate achievements, promote new products or announce new partnerships. Events, like incentives, are also used to motivate, but often on a larger scale.  Our DMCs must ensure that you come home from your event experiencing something that is unique that no one back home can say they have done.

CORPORATE TRAVEL

Corporate travel programmes are designed to provide employee engagement and a sense of achievement and empowerment for those that participate.  This can be achieved throughout the programme or through specific elements, such team building or Corporate Social Responsibility activities.

DMCs are the one and only port of call you will need to ensure your corporate travel programme is a success and they will make sure they adhere to every part of your brief, while exceeding expectations continuously.

PRODUCT LAUNCHES

Product Launches often occur as a stand-alone event or tend to be combined with a conference, either privately or media influenced.  Technology, telecoms and automobile industries tend to do this when they need to launch a new product, either nationwide or worldwide. Our DMCs can act as an impressive facilitator during a product launch, especially when having to handle multiple stakeholders, i.e. the press, the suppliers, the general public and the delegates.

CONGRESSES

Congresses are similar to conventions.  These are primarily formal meetings or a series of meetings for discussion between delegates, especially those from a political party, trade union, or from within a particular sphere of activity.

Our DMCs adhere to our strict criteria regarding the standards of proposal we expect of them and the time they must do this by.  By utilising their services, we can offer you our full support pre and post event; and will provide some great guarantees for your peace of mind!

CONVENTIONS

Conventions are similar to conferences or specific events, as they generally are formal and feature a large group of delegates, utilising a large venue.  The key difference however is that there is a very specific common interest.  For example an association may require a convention with MICE based elements to it, as opposed to a tradesman’s guild or an appreciation society (for film or nature for example) whom may require a convention with more leisure based elements. All DMCs will ensure each participant at the event feels a sense of inclusion.  They will also handle any language barriers that you may experience from overseas suppliers, thus taking the stress out of your research process and allowing you to concentrate slowly on your event.

SPECIAL INTEREST GROUPS

Special interest groups are more leisure or business travel focused, as opposed to Conference or Incentive based.  They often involve an educational element and feature heavily on-site visits – often to factories or environmental sites. This would tie in rather nicely with a convention, as there is a real element of specific and personal interest here. DMCs are ideal for this kind of event.  Often, they have procured contracts with specific suppliers and through careful liaison can offer special priorities, such as access to buildings that aren’t open to the public.

MEETINGS

Like events, meetings are designed to bring together a collection of stakeholders for different proposes; i.e. a breakfast briefing, an announcement, or a quarterly sales meeting. Meetings can be large or small and are often rather formal.  They specifically tend to work off an agenda, with minutes being taken a dedicated secretary.  They are usually held in a venue or hotel’s boardroom; however by utilising a DMC, both the location and added value possibilities from your meetings are endless.

CONFERENCES

A conference is a meeting often of a large-scale with like-minded industry colleagues.  This could be a staff conference where all the people know each other, or an association symposium i.e. within the pharmaceutical sector.  Conferences often feature announcements (for a product for example) with the attendees from a sales background being expected to take the information back to their countries or regions and disseminate to their staff. Unlike events, conferences will only be formal, usually involving speakers and require opinions, whereas events are often more of a showcase.  They often have a strict agenda, which may include a hard-hitting message.

Conferences may have a leisure/ incentive component to them, with a half-day activity or site seeing option, but still mainly focus on the educational element. DMCs should be continuously and thoroughly researching venues in which to hold conferences and they possess a wealth of knowledge of venues of all sizes that no one else knows about!

INCENTIVE

An incentive is required when a cash reward will simply no longer be sufficient to motivate a sales force.  ‘Money can’t buy’ exclusive travel experiences and trips are created to motivate top sales staff at a corporate company.  Usually between 2 and 5 days, these types of rewards are essential to increase productivity and staff morale when money is no longer the principal motivator. Sometimes spouse programmes are available.

The end result – The four Rs: The employer will recognise effort by providing the trip; the staff will be rewarded and will return to their office feeling refreshed.  All this provides positive return on investment for the company! DMCs work as an extension of your team during your incentive and will seamlessly provide all services on the ground, such as transfers, accommodation, gala dinner venues, catering and, logistics.
